About the Job

Sandy Spring Bank is currently recruiting for an Administrative Assistant. The Administrative Assistant provides administrative support to the Chief Operating /Compliance Officer and New Business Development Officer. Performs a wide variety of duties to provide general and administrative support to the Trust Division. Coordinates and administers various other duties/activities as assigned.

MAJOR JOB ACCOUNTABILITIES:

  • Administrative Support - 45%

Assists the Chief Operating/Compliance Officer with various regulatory matters to include compilations of audit related materials, calculates and prepares collaterization spreadsheets for Trust Deposit Account. Assists with coding and submission of invoices, expense reports and check requests for approval and payment. Assists with incentive calculations and payroll sheets. Prepares quarterly board packages. Provides assistance for Estate Planning Specialist as needed. These duties may include coordination of and attending internal and external planning seminars; scheduling and participating in client appointments. Prepare necessary paperwork for new clients and assist with the new account opening process.

  • Department Support - 30%

Creates and updates data in Trust accounting system. Assists with tax and IRA related mailings ensuring that all relevant documents are scanned timely and accurately. Orders supplies and assists with other general support activities. Provides backup to the Administrative, Operations and Investment teams as needed. Reconciles Trust DDA account. Sorts and assemblies incoming mail, accepts deliveries and contacts the recipient as needed. Assists with special projects as needed.

  • Client Service - 25%

Answers the main Trust department phone line and assists callers with inquiries. Assists with front desk coverage as needed. Assists with coordinating departmental and client meetings.


Required Skills

KNOWLEDGE, SKILLS, AND ABILITIES

  • Position requires five or more years of secretarial/administrative experience preferably in a banking or financial institution. Great interpersonal skills and strong organizational skills. Knowledge of proper grammar and business typing formats is necessary to prepare correspondence. A high level of customer and client service is required.
  • Experience using standard word processing and spreadsheet software. Skilled with Office Products (Word, Excel, PowerPoint and Outlook).
  • Accuracy and attention to detail are required. Ability to think quickly, meet deadlines, and manage multiple priorities while finding solutions to challenges which may arise.
  • Excellent verbal communication skills are needed. Represent the Bank professionally in order to maintain a positive rapport inside and outside the organization.
  • Work is performed under minimal supervision and may require independent judgment in the interpretation of existing policies and procedures where the guidelines are limited. Refers unusual matters to supervisor.

SPECIFIC PHYSICAL REQUIREMENTS:

Work requires reasonable mobility in and around the work area. Ability to use standard computer and phone systems is required

WORKING CONDITIONS:

Normal office environment where there is almost no discomfort due to temperature, dust, noise, or other disagreeable elements.

Work includes little or no potential exposure to hazardous conditions.

Must be able to travel to remote company and/or client locations.
