Our Real Estate Departmentlocated in Elkton, MD is looking for a full time Administrative Assistant II to support the Real Estate Department with activities such as initiating contract request forms, Lease Administration support and coordination in processing and filing Lease Documents and other related real estate records, and real estate database maintenance. Develop Lease Abstracts/Summaries and track real estate documents through the Contract Management Process for all owned or leased properties in the Christiana Care Health System. Lease expense tracking and general department support.

The ideal candidate will be well organized, detail oriented and have the ability to multitask. Candidate to complete tasks and duties within a prescribed timeline. Strong computer skills as well as good verbal and written communication skills.

The responsibilities of the Administrative Assistant II will include;

Provides administrative support to Corporate Director and Administrative Director.

Scans and files all lease documents including but not limited to purchases, dispositions, leases, amendments, easements, SNDAs (Subordination, Non-disturbance, and Adornment) and Estoppels, and CCHS' Condominiums' documents.

Abstracts all leases into the Real Estate proprietary software according to a standardized set of guidelines for all leases to ensure accurate revenue and occupancy reporting.

Maintains the Real Estate proprietary software for all real estate documents including critical dates such as lease expirations, renewal dates, rent adjustment dates, amendments, etc.

Tracks, and prepares requests and update for Certificates of Insurance as needed.

Tracks, and prepares requests and update for Fire Alarm / Sprinkler Certificates as needed.

Originates and completes all initial Real Estate contract request forms.

Prepares letters, notices and correspondence to unit owners and tenants as directed.

Prepares and updates move-in packages as needed.

Administers all maintenance calls and emails for non-Christiana Care tenant's and condo owners.

Office Hours:Day Shift - 8:00am - 4:30pm

Education and Experience Requirements:

  • Associate degree in business administration or related field preferred.
  • Three years' experience in preparing, abstracting commercial property leases, full understanding of general lease terms and structure.
  • Experience with Microsoft Office.
  • Experience with Skyline Real Estate software preferred.
Knowledge, skill, and ability requirements:

Knowledge of commercial lease terms, lease billing procedures and Lease Administration

Strong organization skills

Detail-oriented, highly organized, and flexible.

Must possess excellent oral and written communication skills.
