As our team continues to expand, we are currently seeking an Administrative Assistant. The ideal candidate for this position is adaptable, customer service-oriented, and thrives in a dynamic environment.


The Administrative Assistant provides high level and quality administrative support to discipline and professional team members. Prepare Word and PowerPoint presentations along with other business documents. The Administrative Assistant prepares correspondence, minutes, memos, and reports. This position also maintains calendars, schedules appointments, and coordinates meetings; including catering needs and travel arrangements. The Administrative Assistant also provides relief support as needed for reception and other administrative staff.


Essential Functions:

  • Maintain daily schedules including internal meetings, conference calls involving multiple time zones, setting video conferences, and client meetings.
  • Coordinate travel schedules, preparing a detailed itinerary prior to departure, as needed.
  • Prepare and submit accurate expense reports for leaders and reconcile statements, as requested.
  • Serve as a central point of contact for team administrative inquiries.
  • Compose business documents, primarily using Microsoft Office applications.
  • Represent the organization and leaders to internal and external parties as required.
  • Assist with other duties such as file maintenance, photocopying, scanning, mailings, trouble shooting, and meeting planning.
  • Handle calls for the senior leaders, working with other support staff to ensure phone coverage during periods of absence.
  • Support other colleagues when possible, providing timely answers to requests.
  • Assist with office management duties as needed.

Requirements

  • Associate's degree
  • Five years' administrative experience, preferably in an architectural or engineering environment
  • Minimum intermediate skills Microsoft Office Suite
  • Must be able to anticipate problems and use sound judgments and tact in handling confidential matters
  • Must have excellent organizational skills, demonstrated initiative, attention to detail, strong written and verbal skills, and a professional manner
  • High level of independence, decision making, dependability, flexibility, and accuracy
  • Ability to manage multiple workflows, balance competing priorities and meet deadlines in a fast-paced environment
  • Must have intellectual curiosity and desire to learn
  • Comfortable performing Internet research, Photo Editing, Scanning, and File conversion
  • Microsoft Project experience
  • Database and CRM experience

The actual offered base salary for New York locations will vary depending on factors such as individual qualifications, education, experience, skills, job-related knowledge, work location, and internal equity. The compensation package may also include incentive compensation in the form of discretionary bonuses in addition to base salary and a full range of medical, financial, and other benefits.
