General Summary of Position
MedStar Franklin Square Cancer- Medicine Oncology at
Loch Raven is looking for a full-time Administrative Assistant. This
opportunity is Monday - Friday from 8:00AM - 4:30PM.
The Administrative Assistant performs diversified
administrative duties related to department Management team and/or physicians.
Primary Duties
Contributes to the achievement of established
department goals and objectives and adheres to department policies,
procedures, quality standards, and safety standards. Complies with
governmental and accreditation regulations.
Provides clerical assistance, including opening and
distributing office mail, maintaining staff schedules and vacation logs
and/or other material, supporting and assisting the management team and
providers. May assist with licensing and credentialing process. Assists
with preparation of presentations and other related documents.
Answers telephones, routes callers, takes messages,
and provides routine information to callers.
Orders and maintains inventory of supplies and assists
in the care and maintenance of equipment, according to established
protocols to ensure supplies are available within cost effective
guidelines.
Schedules meetings to include identifying meeting
location, ordering food, coordinating and producing the agenda. May
arrange WebEx capability if needed. Prepares meeting minutes, logs and
materials and distributes in a timely manner.
Provides data entry support, typing and transcription
as needed. Maintains accurate filing system to ensure timely retrieval of
information. Prints, makes copies of materials as needed. Schedules
appointments and follows up as needed.
Provides administrative support for routine or special
projects and tasks as assigned, which may include gathering and assisting
in compiling financial or statistical data.
Schedules supervisor's appointments and assists in
maintaining and updating daily calendar of assigned staff. May coordinate
travel arrangements including flight, hotel accommodations, conference
registration, itineraries and expense reimbursements.
Types memoranda, policies, committee minutes, manuals,
letters, forms, procedures, and other documents as directed. Initiates
other documents and correspondence as appropriate.
May provide back-up support to other office staff by
performing their job responsibilities when required to ensure office
procedures run smoothly.
Participates in meetings and on committees and
represents the department and MedStar in outreach efforts. Participates in
multi-disciplinary quality and service improvement teams where needed or
identified.
Qualifications
High School Diploma or GED, Required.
Associate's degree, Preferred.
Administrative/secretarial training, Preferred and
CONSIDERATION WILL BE GIVEN TO AN APPROPRIATE
COMBINATION OF EDUCATION/TRAINING AND EXPERIENCE, Required.
Minimum 2 years clerical/office experience preferably
in a healthcare setting supporting a leader/administrative function, Required.
Transcription and typing skills.
Demonstrated proficiency in the use of word
processing, spreadsheet, and presentation software applications in a
Windows environment.
High level of professional verbal and written
communication skills.
Excellent interpersonal communication and customer
service skills, and good telephone etiquette.
