Description

Washington College is seeking qualified applicants for an Executive Assistant in the College Advancement Office. The Executive Assistant provides efficient, effective and confidential administrative support to the Vice President and Associate Vice President for Advancement (VP and AVP).

The Executive Assistant will be an integral member of the Advancement team and enjoy a collaborative, lighthearted camaraderie with the team, invested in advancing the College through relationships and resources. Responsibilities include facilitating the VP and AVP's schedules, execution of donor acknowledgements, management of communication with leadership and advisory groups, interfacing with various college departments and other activities.

The successful candidate will bring a high level of care and accountability to all areas of their work. They will have the ability to connect with internal and external constituents and set a standard for donor and constituent attentiveness. Excellent organizational skills and attention to detail is essential to this position.

This job has the potential for advancement within the department.

Potential Job Duties:

  • Oversee department-wide meetings and communications, to include staff meetings and retreats, general information, policies and procedures
  • Execute acknowledgement communications for department leadership, giving societies, and athletics
  • Coordinate outreach to donors and other constituents, both individuals and advisory groups, on behalf of the VP and AVP
  • Organize, coordinate, and schedule meetings
  • Field general department calls and concierge visitors - act as the front-line for donor relations
  • Schedule development staff travel
  • Generate presentation materials for department data
  • Project management, as assigned
Qualifications

Skills and Qualifications:

  • Undergraduate degree preferred, but not required
  • Project management experience, organized and experienced to multi-task and discern required duties and expectations to handle multiple projects at once, and to meet strict deadlines
  • Creative and innovative to problem solve or bring about solutions
  • Experienced knowledge and use of office technology, hardware and software, with preference for Microsoft office products

Working Conditions:

Standard office environment.

Work Schedule/Hours:

Monday-Friday: 8:30 a.m. - 4:30 p.m. Department policy is one day a week remote, though after an introductory period, a hybrid schedule may be suitable.
