ADDITIONAL COMPENSATION:

  • For Employees who reside in Connecticut, Massachusetts, New Jersey, and California, additional compensation is offered through a Cost-of-Living Adjustment (COLA).

POSITION SUMMARY:

The incumbent in this role is responsible for managing the movement of goods between their country of origin and other countries for all Shimadzu America group companies located in North America. As the main contact for importing and exporting logistics, the Manager will ensure that employees and group companies comply with rules and regulations of the country of origin; as well as importing/exporting countries to avoid penalties that may occur if rules and regulations are violated. Incumbent must monitor, and institute required changes to the shipping process, as needed, in-order to comply with customs regulatory laws/rules. The incumbent must perform other related duties that may be assigned from time to time.

This position is responsible for monitoring compliance processes/documentation and the arrangements that employees or agents of SSI make for forwarding freight. Incumbent is required to maintain good relationships with government agencies, clients and vendors that are essential for SSI business and importing/exporting success.

JOB FUNCTIONS INCLUDE:

  1. Manage and monitor restricted party screening services, reviewing any flagged person, organization or transaction and referring those requiring additional scrutiny to in house counsel for review. (daily)
  2. Ensure compliance with Shimadzu Corporation and METI regulations, This includes acquisition, review, and submission for approval of required customer documentation. Release of orders post approval, accurate documentation and required monitoring of products and customers requiring increased scrutiny and controls, (daily)
  3. Ensure effective communication and good relationships with SSI and Shimadzu Corporation personnel. (daily)
  4. Manage and monitor all shipments/deliveries of goods to ensure the compliance of governmental regulations. (daily)
  5. Manage agents, suppliers, brokers, forwarders and transport companies bringing foreign products into SSI. (daily)
  6. Oversee the handling of all international goods and ensure the safety in all transportation. (daily)
  7. Design cost effective methods and best means of transport for all products, per customer business needs; including stream-lining process/ policies to incorporate all governmental regulations. This will include analyzing ways of lowering the cost of freight forwarding, shipping charges and taxes on imports and exports in collaboration with Purchasing and Material Management.(weekly)
  8. Collaborate with senior management across group companies and ensure all international shipments are in compliance with all trade regulations and changes. (weekly)
  9. Categorize international shipments according to tariff coding system; and recommend insurance coverage levels. Prepare required documentation for suppliers and ensure the ERP system is kept updated with proper parts coding. (daily)
  10. Prepare documents to release goods at the US Port. Includes reviewal and approval of sign off entry with US customs. (daily)
  11. Prepares end of year report for US Customs and/or any other reports required by governmental agencies, both domestic and foreign. (annually or as required.)
  12. Track international shipments and provide status updates as needed to employees and customers. (daily)
  13. Provide training to all employees for the import/export process and relevant regulations. (weekly)
  14. Design and implement all compliance forms/templates and prepare required reports. Work with inhouse counsel to ensure documents, policies and processes are legally compliant. (weekly)
  15. Maintain all import and export shipping documentation, files and internal controls. (daily)
  16. Manage and monitor any trade agreement programs. (weekly)
  17. Respond to and manage response to inquiries on import/export matters by governmental regulators. Includes assisting any governmental agencies when visiting facilities. (monthly)
  18. Track, code and approve invoices related to SSI importing/exporting expenses. (weekly)
  19. Monitor and provide feedback on legislation concerning import and export matters to Shimadzu. (monthly)

SCOPE:

The incumbent is responsible for maintaining subject matter expertise in all import and export regulations and operations relevant to SSI business. Will perform internal and external audits, perform required prior disclosures for all process and supervise the working of all external agents such as freight forwarders and customer brokers. Responsible or facilitating shipments crossing international borders.

PROBLEM SOLVING REQUIREMENTS:

Incumbent is required to act independently on routine matters that are governed by company policies and procedures. Will need to make educated and compliance driven decisions, which have Shimadzu's best interest in mind, on matters not governed by company policy by having an excellent understanding of US and International Custom Laws. Must be able to work independently and with a team to achieve goals and provide resolutions to inquires/concerns.

EDUCATION AND/OR EXPERIENCE REQUIREMENTS:

A Bachelor's degree in Business Administration/Logistics or the equivalent is required. At least 3 - 4 years hands on experience working with importing and exporting products and associated international regulations. Knowledge of freight forwarding process, import/export laws and taxes are required; along with exceptional negotiation, organizational and customer service skills. Ability to communicate in Japanese and/or Spanish is desirable but not required. Import/Export certifications are a plus, those include - CE (certified Exporter), CITP (certified international trade professional) and CUSECO (certified US export Compliance Officer. Incumbent is required to have strong professional, ethical and socially responsible behaviors.

SUPERVISORY RESPONSIBILITIES:

This position currently has no direct supervisory or management responsibilities of personnel but could in the future. This position is directly responsible for managing and supervising import and export process/shipment(s) and therefore has indirect supervision responsibility for the processes and ensuring others are executing appropriately.

PHYSICAL DEMANDS:

The position requires frequent lifting (or by other means for movement) of boxes and company products/goods. Physical demands may include frequent bending; stooping, squatting, standing, walking, sitting for long periods of time and pulling/pushing of parts can also be expected. Incumbent must be able to lift up to 20 pounds routinely throughout the day; with heavier amounts beyond 21 pounds with assistance. Specific vision abilities required by this job include close vision, distance vision, peripheral vision and depth perception.

SAFETY/PERSONAL PROTECTIVE EQUIPMENT:

Position is required to maintain proper housekeeping and safety standards. Proper use of personal protective equipment and safety devices are required as stated by the Corporate Safety Document policies and procedures.

WORK ENVIRONMENT:

This position is based in an office area that requires regular and predictable attendance. It will involve working alone on projects and collaborating as part of team. Incumbent may work at different workstations during the day, including warehouse locations that require physical activity in-order to monitor/process incoming and outgoing international shipments. Extra hours may periodically be required, in-order to fulfill the functions required by this position. The position will include contact with all SSI employees, Shimadzu Group Companies employees and key account vendor management; all of whom require prompt and friendly handling of all business activities and inquires.
