Job Description


Under the direction and supervision of the Supervisor of Guest Services, the Information Coordinator provides general information, monitors alarms and implements emergency procedures. The Information Coordinator processes all incoming calls for staff, physicians, patient information and general Massachusetts Eye and Ear information. Registers and admits patients in the hospital information system. Coordinate the receipts and distribution of packages, specimens, telegrams, flowers, medical records and information. Greets and directs visitors and patients. Also, works with others in the department and Hospital to ensure an efficient and effective patient experience.


  1. Delivers outstanding customer service to both internal and external customers.
  2. Responsible for Emergency Procedure flow. Is point of contact for the initiation of all Emergency Codes for the hospital
  3. Must be familiar with the Environment of Care-Emergency Procedures and color codes in order to answer emergency calls for assistance and dispatch appropriate response personnel
  4. Must remain calm under pressure.
  5. Operate and update the UCOM/SDC computer paging system daily to ensure that personnel, staff and clinical on-call data bases are current.
  6. Serves as a resource for patients and others with questions regarding registration, physicians and appointments. (EPIC)
  7. Assists in ensuring adequate departmental coverage when needed. This includes covering in the Transportation Department at the direction of the Guest Services Supervisor or Manager.
  8. Monitors/operates various services provides at the front desk such as TDD Phone, wheelchair assistance, taxi calling, valet services and assisting visually impaired patients.
  9. Participates in holiday coverage rotation.
  10. Register and admit patients seeking treatment in the Emergency Department computer system.
  11. Ensures the integrity of the data in the hospital's information system with respect to patient demographic, insurance and admission information. (EPIC)
  12. Documents accurate information on all patient accounts to ensure an effective workflow throughout the organization.
  13. Demonstrates ability to handle difficult situations by using effective problem solving skills.
  14. Collaborates with others to ensure a positive and effective patient experience.
  15. Demonstrate ability to work independently and as part of a team in a fast paced environment with constant interruption.
  16. Relates effectively to various types of customers in a professional and courteous manner.
  17. Utilizes supervisor to resolve issues/concerns as needed.
  18. Attends and participates in departmental meetings.
  • Requires a professional, service oriented individual with strong organization skills and good judgment.
  • An independent thinker with the ability to work under limited supervision.
