Job Description

Reports to: Marketing Communications Manager

Job Classification: Non-exempt

Hours: Monday - Friday 8:30am - 5pm

Position Summary: Responsible for coordinating national trade shows, improving online user experiences, and assisting sales management with the utilization of sales enablement tools.

Responsibilities:

  • Coordinate, organize and manage all national trade shows (currently around 40 per year)
  • Become a power user of SmartSheet for online collaboration and project management
  • Utilize CRM for lead management following events
  • Plan and book event spaces, hotel room blocks, meeting rooms, and other trade show related events
  • Coordinate exhibitor badges, maintain and communicate show attendee list, manage pre-show staff trainings and staff schedule
  • Lead planning, logistics and ordering all booth services
  • Coordinate inventory of products, literature, supplies and promotional items for the booth and events as well as shipping to and from the tradeshow
  • Manage the trade show budget and innovate to maximize ROI on event expenses
  • Work with market managers and external vendors to develop tradeshow email and digital marketing campaigns.

Essential Functions:

  • Use computer and online software to track logistics and communicate with team members
  • Ability to lift and move 25 lbs unassisted
  • At times to stand for the majority of a workday
  • Perform verbal communications to vendors and company personnel

Performance Criteria:

  • Provide a consistent high level of service to colleagues
  • Meets all deadlines to improve efficiency and reduce cost
  • Ensure 100% accuracy of all documentation and logistics
  • Maintain complete and accurate communication to marketing team

Travel:

  • Ability to travel up to 25% in heavy show season
  • Trade shows may be held on evenings and weekends

Qualifications and Skills:

  • 3+ years of events coordination experience
  • Experience with project management
  • Proficiency with Microsoft Office Applications (e.g. Excel, Outlook, PowerPoint)
  • Proven communication (verbal and written) and administrative skills
  • Budget management experience
  • Excellent time management skills
