The United States Naval Academy Alumni Association & United States Naval Academy Foundation located in Annapolis, Maryland, support the mission and vision of the United States Naval Academy and its alumni. The U.S. Naval Academy Alumni Association & Foundation is seeking a full time Payroll Administrator to join the finance team.This position is based in historic Annapolis near the U.S. Naval Academy. In 2023, the staff of the U.S. Naval Academy Alumni Association and Foundation will move into new modern offices in a to-be-constructed Alumni Center, which is being built on the banks of College Creek overlooking the Naval Academy and downtown Annapolis. The U.S. Naval Academy Alumni Association and Foundation is a non-profit organization committed to advancing higher education, supporting U.S. Naval Academy alumni, and furthering the mission and vision of the United States Naval Academy. We support the U.S. Naval Academy Strategic Plan and U.S. Naval Academy Mission as the Alumni Association and Foundation. The Payroll Administrator (PA) is a Staff Accountant who has specific payroll administration qualifications and responsibilities. The PA should be mature, poised and articulate as he/she will engage in frequent contact with Association and Foundation staff members, vendors, and service providers. He/she must be well organized, attentive to detail, comfortable working with numbers and able to work well both independently and in a team environment to meet deadlines and goals. The goal for this position is to contribute to the efficient operation and success of the department. This position offers a competitive salary commensurate with experience and is eligible for an annual performance-based bonus, when applicable. This position will report to the Director of Financial Reporting.Major Duties and ResponsibilitiesProcesses bi-weekly payroll accurately using the payroll system to ensure compliance, accuracy, and efficiencyManages time & attendance with support staff and supervisors while maintaining precise payroll recordsPrepares the payroll journal entries, maintains, and reconciles the payroll general ledger accountsWork with staff to prepare the yearly salary and benefit budgetEnsures compliance and adheres to USNA Alumni Association & Foundation policies relating to processing of wages and paid leaveProvides service to all employees regarding concerns with payroll, research and trouble shoot any/all inquiriesMaintains a good working relationship and communication with the HR departmentMaintains business controls and audit trails for all payroll transactions, garnishments, etc.Maintains control of company payroll files, with strict confidentialityProvides payroll audit support Prepare and process timely and accurate entries in the accounting software systemUpdate and manage assigned general ledger and sub-ledger accounts, financial data and financial systems as assignedReview expenses, records and calculations as assignedPrepare timely and accurate reports as assignedPrepare audit schedules and assist management prepare for the annual auditPerform or assist with other duties or accounting projects as assignedRequired QualificationsA Bachelor's degree in accounting or similar degree3-4 years payroll processing and payroll systems experienceStrong working knowledge of payroll practices and labor & compliance guidelinesAbility to anticipate important payroll timing needsAbility to handle highly confidential payroll and benefit informationWell versed in accounting principles with knowledge or exposure to not-for-profit accounting Proficient computer knowledge and skillsHighly capable in MS Office products and telecommunications software, such as videoconferencing platformsStrong verbal and writing communication skills a mustExperience with Blackbaud Financial Edge/NXT and CRM a plus
